Role Overview
As our organisation continues to grow nationally through service expansion and acquisitions, we are seeking a Care Systems & Data Administrator to support the accuracy, consistency, and effective use of our digital care and business systems across all services.
This role is central to ensuring that operational, compliance, payroll, and invoicing data held within our systems is accurate, reliable, and aligned with business processes.
You will act as the systems expert for PASS and Nourish, working closely with branch teams, Care Coordinators, Compliance Leads, Finance, and central support functions to maintain high-quality data and resolve system issues quickly and effectively.
You will also play a key role in supporting new service integrations, travelling nationally where required to onboard services, embed systems, and train teams to use them confidently.
Key Responsibilities
Systems Administration & Data Accuracy
- Maintain accurate data within PASS, Nourish, and associated business systems.
- Input and manage operational and financial data to support payroll and invoicing processes.
- Ensure system records reflect live service delivery, staffing structures, and commissioned packages.
- Carry out routine data quality checks and audits across services.
- Identify inconsistencies and work with branches to resolve discrepancies.
Operational Systems Support
- Act as the first point of contact for branch teams and Care Coordinators regarding system queries or issues.
- Provide practical support and troubleshooting guidance to operational teams.
- Escalate technical issues appropriately to system providers or internal leads.
- Support the continuous improvement of system processes and workflows.
Payroll & Finance Data Support
- Accurately input and validate data used for payroll processing and invoicing.
- Work collaboratively with the Finance Team to ensure information aligns between operational systems and financial outputs.
- Support reconciliation processes where data discrepancies arise.
- Assist with reporting requirements linked to service delivery and billing.
Training & Service Integration
- Support onboarding of new services during acquisitions or mobilisation periods.
- Travel nationally to assist with system setup, migration, and implementation.
- Deliver basic system training to managers, coordinators, and office staff.
- Help embed consistent system usage across all locations.
Collaboration & Relationship Building
- Build strong working relationships with:
- Branch Managers
- Care Coordinators
- Compliance & Quality teams
- Finance colleagues
- Central support teams
- Promote confidence and best practice in system usage.
- Support teams to understand how accurate data underpins compliance, payroll, and service delivery.
Key Skills & Experience
Essential
- Experience working within social care services (domiciliary care or supported living desirable).
- Strong working knowledge of PASS and/or Nourish systems.
- High level of data accuracy and attention to detail.
- Experience inputting or managing operational or financial data.
- Confident supporting non-technical users with systems.
- Strong organisational and problem-solving skills.
- Excellent communication and relationship-building ability.
- Ability to prioritise workload across multiple services.
Desirable
- Experience supporting payroll or invoicing data processes.
- Experience supporting service mobilisation or acquisitions.
- Experience delivering basic systems training.
- Understanding of CQC compliance and care documentation requirements.
